
How do calendar connections affect booking availability?
A connected personal calendar lets ORCHESTRIS remove existing busy times from live booking availability and add confirmed meetings to the assigned person’s calendar. Google Calendar and Microsoft Outlook are both available in the current sandbox build after the Orchestris owner configures each provider once.
Why connect a calendar
- Calendar connections reduce double-booking risk.
- They help the booking system understand when a team member is already busy.
- They make booking workflows closer to tools like Calendly while keeping event context inside ORCHESTRIS.
Connect a personal calendar
- Open Meetings, then select Availability.
- Select Connect Microsoft Outlook or Connect Google Calendar when that provider is marked Ready.
- Sign in to the calendar account and approve the requested calendar permissions.
- ORCHESTRIS returns you to Availability and displays the provider as Connected.
Each workspace admin or staff member connects their own account once. Clients and guests do not configure provider credentials. The Orchestris owner manages the platform-level connection.
How live sync works
- ORCHESTRIS checks the assigned person’s connected calendar before offering booking times.
- A final conflict check runs when an invitee submits the booking.
- Confirmed bookings are added to the assigned person’s calendar with the ORCHESTRIS meeting details.
- Disconnecting a calendar stops future synchronization without deleting existing ORCHESTRIS meeting records.
Beta testing note
- If a connected calendar does not affect availability as expected, report the call type, assigned user, calendar provider, and date range.

Connect a private iCal or webcal feed
Use this option when you want ORCHESTRIS to block appointment times from an Apple, Google, Outlook, or other calendar that provides a private iCalendar subscription URL.
- Open Meetings, then Availability.
- In Check An iCal Calendar, enter a recognizable calendar name.
- Paste the private
https://orwebcal://subscription URL supplied by your calendar provider. - Select Connect iCal Feed. You may connect more than one feed.
ORCHESTRIS treats imported events as read-only busy time when it builds booking slots. The private URL is encrypted and is not displayed again after it is saved. Google and Microsoft OAuth connections remain the preferred option when you also want ORCHESTRIS to write new bookings back to the connected calendar.
