    How do CRM automations work?

    Short answer

CRM automations watch for a trigger, such as a status or group change, then run an action like moving an item, sending an email, creating a workspace, or preparing a contract workflow.

    Automation sentence builder

    • Automations should read like a sentence: when this happens, then do that.
    • Each blank in the sentence opens the correct selector for boards, groups, columns, email templates, or contract categories.

    Stable column keys

    • Changing a visible column name should not break automations because automations should reference the stable system key behind the column.

    Useful starting automations

    • When a lead moves to Booked, move it to an event or client workflow.
    • When a platform prospect changes to Approved, create a workspace and send the admin magic login link.
    • When a contract is needed, prepare a document from the right template category using mapped CRM data.

How do I create a CRM form?

    Short answer

Create CRM forms from the Forms area of the board you want submissions to feed into, then map each question to an existing CRM column.

    Form source board

    • A form belongs to the board where it is created. Submissions should feed into that board automatically.

    Questions

    • Add questions manually, reorder them by dragging, and map each answer to one of the existing columns on the connected board.
    • Required questions should block submission until the visitor fills them out.

    Embed options

    • Use the embed option for inline website placement.
    • Use the form button option when you want a website button to open the form in a popup lightbox.

How do CRM boards, groups, and columns work?

    Short answer

The ORCHESTRIS CRM uses boards for workflows, groups for stages, rows for leads or accounts, and columns for the data tracked on each item.

    Boards

    • Boards represent a larger workflow, such as leads, customers, onboarding, or platform accounts.

    Groups

    • Groups usually represent the current stage of work, such as leads, qualified, proposal sent, booked, onboarding, or complete.
    • Groups can be reordered and colored to make scanning easier.

    Columns

    • Columns store the data for each row. Column names can change, but the internal system key should stay stable so automations keep working.
