    Staff types

    Repeat assignments

    • Existing users should be assigned to new events instead of receiving duplicate accounts.

    Portal access

    • Assigned staff should see the event in their portal after the assignment is saved.

    Short answer

    Event timelines are built from sections and cards. Workspace admins can customize the event timeline after it is created without changing the original saved template.

    Timeline sections

    • Sections act like headers for a part of the event day and can include a section start time.
    • Use sections to separate ceremony, cocktail hour, dinner, dancing, formalities, or any other planning phase.

    Timeline cards

    • Cards hold the actual planning prompts, notes, song requests, questions, and guest visibility settings.
    • Cards can be customized per event after a template is applied.

    Locked cards

    • If a workspace admin locks a card, hosts and guests can view only the allowed information and cannot change the locked content.

    Short answer

    Each event can have a host link and a guest link. The host link grants host planning access, while the guest link grants limited guest access for enabled guest features.

    Host links

    • Use the host link for the client, couple, planner, or event owner who should help complete planning details.
    • Repeat hosts should be assigned to multiple events under one account instead of receiving separate logins for every event.

    Guest links

    • Use the guest link for guest-facing requests such as song requests or event photo galleries when those features are enabled.
    • Turning guest requests off should not erase data already collected.

    Security note

    • Only share links with the people who should access that event. If a link is exposed publicly by mistake, contact the workspace admin so access can be reset or locked down.

    Before creating the event

    • Have the event name, date, start time, end time, venue name, location, and event type ready.
    • If the event should start from a saved timeline template, confirm the template exists first.

    Event status options

    • Active allows client and staff editing.
    • Pending limits editing to staff.
    • Locked limits editing to staff and can be used near the event date when planning should stop changing.

    After the event is created

    • Open the event details to adjust event information.
    • Review generated host and guest links.
    • Assign staff and add any event-specific documents, planning cards, music requests, or photobooth access.
